Customer Success Coordinator

POSITION SUMMARY 

Ensure delivery of excellent customer service through fast and accurate processing of enrollment, eligibility, billing, communication (phone, email, fax), and coordinating with other departments to resolve inquires. The first point of customer contact for general inquiries. Build and maintain business relationships with clients by providing prompt and accurate service to promote customer loyalty. Provide support as a team effort in special projects on an on-going basis.

ESSENTIAL FUNCTIONS AND OPPORTUNITIES

  • Increase depth of learning of Vimly enrollment, eligibility, billing, and technical procedures that are critical to serving our clients.
  • Provide answers to enrollment, eligibility, termination and billing questions.
  • Provide general administrative support for team needs.
  • Process incoming mailed and electronic applications, verification of eligibility.
  • Act as a liaison between clients and their insurance carriers. Quickly resolve eligibility concerns with carriers and providers on behalf of the employers and employees when discrepancies occur.
  • Process notifications and other compliance documentation. Ensure all data is in compliance with federally mandated rules and procedures.
  • Maintain client records, noting discrepancies as directed.
  • Support month-end reporting, as needed, in an effective and timely manner, including delinquency calls and producer questions.
  • Provide general file management per VimIy standard procedures.
  • Assist Vimly teams outside of your department with their work as directed by your manager or supervisor. This work may fall outside of procedures within your department but are critical to overall continuous office operations.
  • Actively participate in learning client needs, taking on more responsibility as directed by Account Manager.
  • Willingness to participate in departmental and company-wide committees, events, and offerings as appropriate.

MINIMUM QUALIFICATIONS

  • High school education or equivalent; college education a plus
  •  2-5 years customer service experience
  • 0-1 years of employee benefits experience (enrollment, eligibility, claims processing, billing)

Accounting Specialist

POSITION SUMMARY

The Accounting Specialist is a multi-function position responsible for ensuring accurate receivables, managing banking deposits, and processing client remittances. Receivable processes include completion of check processing, information data capture, preparation of receivable postings and review of bank deposits. Bank deposits involve the processing of the completed receivable documents, organizing, balancing, and managing electronic deposits to corresponding bank accounts in a timely manner. Client remittances consist of review of client disbursement requests, processing scheduled and ad hoc payment requests, and completing the payment process from check creation to outgoing mail.

ESSENTIAL FUNCTIONS AND OPPORTUNITIES

  • Review and post accounts receivable transactions
  • Reconcile client accounts, resolve payment discrepancies
  • Produce accurate and timely reporting
  • Prepare daily cash deposits and process online payments in accordance with both Vimly internal and client specific instructions
  • Scan deposits and archive according to retention policy
  • Maintain physical deposits previously scanned according to retention policy
  • Record Trust transactions into QuickBooks and maintain appropriate supporting documentation
  • Prepare disbursements, reimbursements, and weekly bank wires and electronic fund transfers for Trusts
  • High volume check runs, batch processing including voids and stop payment orders
  • Manage outstanding check records and process accordingly (reissue, unclaimed, etc.
  • Collect W9’s and maintain accurate vendor QB records
  • Manage disbursement email inbox
  • Maintain and process EFT forms and requests
  • Maintenance and ordering of check stock for all Trusts
  • Open and process incoming mail
  • File organizing (EFT forms, W9’s) and vendor maintenance (i.e. address updates, etc.)
  • Assist with 1099 data entry, sorting, and reporting

MINIMUM QUALIFICATIONS

  • High School Education or equivalent experience
  • 2+ years of related Accounts Receivable or Payables experience

Proposal Writer

POSITION SUMMARY

As a result of Vimly’s continued rapid growth, we are seeking an experienced Proposal Writer who thrives in a deadline-driven environment and can prepare customized, compliant and competitively positioned proposals that help position Vimly favorably in the marketplace. As the Proposal Writer, you will craft and manage all active and pending RFP/RFIs on behalf of the company. Through collaboration with various subject matter experts (SMEs) and departments, you will manage the RFP/RFI response from beginning to end: from research and data collection/maintenance to writing and editing/proof reading to proposal document creation and revision. 

This role requires a combination of project management skills, verbal and written communication capabilities, experience with detailed writing and editing, and the ability to handle multiple deadlines simultaneously. Ideally, we are looking for someone interested in using their expertise to work collaboratively with all stakeholders to develop persuasive and winning proposal responses to meet the needs of our diverse client base. The ideal candidate is a detail-driven grammar guru, has a commitment to teamwork and delivers results.

ESSENTIAL FUNCTIONS AND OPPORTUNITIES

  • Define, schedule and manage the proposal preparation process, including the ability to understand and analyze the details of an RFP
  • Effectively communicate requirements and timelines with internal team
  • Engaging and collaborating with SMEs to obtain appropriate information and/or responses needed
  • Prepare written responses to RFPs using information, facts, research and supporting documentation gathered from the RFP knowledge base and various departments/sources at Vimly; Create new content in response to emerging requirements or after identifying content gaps in partnership with Sales, Product, Engineering experts, contract and legal representatives
  • Incorporate all pertinent information into a concise, professional, competitive, compliant proposal and ensure on-time delivery
  • Interpret complex issues and develop cohesive responses; adapt style, tone, and word choice to various channels or stakeholder requests
  • Lead strategic calls that facilitate knowledge transfer between Sales and/or other business areas to foster a collaborative approach to proposal development; document and share outcomes
  • Write content as needed for cover letters, executive summaries, and other materials as needed
  • Write and develop processes and procedures, templates, standards, and best practices to successfully bid projects in a timely manner and providing suggestions as needed
  • Maintain Proposal Content Database (RFP 360) to ensure content is accurate and up to date; train subject matter experts on RFP 360 and any additional tools
  • Ensure the confidentiality of financial data and documents
  • Help organize, prepare, identify all RFP/RFI supporting documents (ex: implementation timelines, charts, graphs, flowcharts, collateral, etc.)

MINIMUM QUALIFICATIONS

  • Bachelor’s degree in Marketing, English, Communications, or a related field or equivalent experience
  • 3+ years RFP writing, preferably within a technology industry (SaaS)
  • Project Management certification – a plus!
  • Experience with proposal software – a plus!

National Sales Executive

POSITION SUMMARY 

Vimly seeks a high-energy sales executive that can drive sales, revenue growth and profit using your knowledge of all our product offerings. Reporting to the National SVP, this individual must be results oriented with a proven track record of successfully generating new sales growth from start to finish. As a National Sales Executive, you will be responsible for representing and promoting Vimly as an experienced benefits technology and service company. Our National Sales Executive will work collaboratively with internal colleagues across various functional areas and leverage subject matter experts as appropriate to support his/her sales efforts.  

ESSENTIAL FUNCTIONS AND OPPORTUNITIES

  • Clearly demonstrate the value proposition of Vimly to prospective clients based on financial analysis.
  • Developing and qualifying leads within respective territory to drive additional sales opportunities through cold-calling and lead generation campaigns.
  • Drive all sales activities including but not limited to; prospecting, profiling, product demonstrations, RFP/proposal development and to the sale close all while ensuring customer satisfaction.
  • Develop and maintain a deep understanding of Vimly's solutions and offerings.
  • Maintain an understanding of the marketplace and competitive offerings.
  • Strategically plan, negotiate and influence interactions and relationships with clients and internal team members to achieve strategic sales goals.
  • Track and monitor client engagements through Salesforce automation tool, prepare accurate reports and forecasts, manage pipeline and perform other tasks necessary to drive sales revenue.
  • Grow and maintain strong relationships with clients and partners to increase opportunities and participate in weekly reviews of various client engagements.
  • Inform product strategy, influence the product roadmap, and guide/support product decisions based on market needs.
  • Support new business implementation through strong collaboration with internal team members to deliver a superior customer experience.
  • Facilitate effective transition of new business to account management.
  • Coordinate sales activities with all levels of staff and external partners through clear and concise verbal and written communication skills.
  • Ability to organize, plan, prioritize and execute sales process and activities.
  • Provide Vimly senior staff with regular and timely sales updates and weekly status activity reports.
  • Share input, raise awareness, and problem solve with Vimly senior staff on sales process .

MINIMUM QUALIFICATIONS

  • Minimum 5-7 years' experience as a senior health care sales executive - preferred
  • Undergraduate or technical degree required, master’s degree a plus - or equivalent experience
  • Prefer sales executives with strong consultative and solution sales experience selling to health plans/carriers, Association Health Plans (AHPs), Third-Party Administrators (TPAs), large general agencies/brokerage firms, PEOs, ancillary carriers and/or labor and public-sector customers.

Sr. Software Engineer

POSITION SUMMARY 

As a Sr. Software Engineer you will help design, develop, and install software solutions. The key project for this role is greenfield and offers the most current tools and technologies for the core team. In this role, you will support the build of high-quality, innovative, and fully performing software in compliance with coding standards and technical design. The role requires the skills of an experienced professional with a solid understanding of industry practices and company policies and procedures.

ESSENTIAL FUNCTIONS AND OPPORTUNITIES

  • Support the design and building of highly scalable, resilient, performant cloud microservices and APIs.
  • Work with QA in close collaboration on developing testing processes, frameworks, automation, and deployment strategies.
  • Work with architects on software and system optimizations, helping to identify and remove potential performance bottlenecks.
  • Focus on innovating new and better ways to create solutions that add value.
  • Work closely in collaboration with product management, program management, QA, cloud operations, technical support, and sales teams at various stages of product development.

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree in Computer Science or equivalent work experience preferred

  • 2+ years of designing and developing microservices
  • Strong OOD and Design Patterns principles

    Account Manager

    POSITION SUMMARY 

    The Account Manager is responsible for managing and providing leadership for their assigned book of business while ensuring that our clients receive excellent customer service and support. As the Account Manager, your goal is to delight the customer, foster up-sell opportunities and support renewals. You will be the primary point of contact for client questions, concerns, and escalated issues and act as the liaison between the customer’s internal staff and your internal business partners. Resolution of issues may require you to coordinate with other internal departments such as Customer Success, Accounting, Product or Engineering. Your ability to track, manage and resolve acute issues effectively and responsibly is key to your success. Specific customer deliverables may include, but are not limited to; renewals, enrollment, billing, and disbursement. Effectively partnering with Customer Success and other internal departments will ensure all Service Level Agreements are not only met but exceeded. You will develop, track and report key performance metrics to the client as well as internal teams. Your customer insights are expected to influence your development and implementation of processes and procedures designed to improve operational efficiency to further delight your customer.

    • Understand the needs of our clients, business partners, and members, and act as an advocate for both Vimly and our customers.

    • Prepare and present reports and presentations to the Executive Team, Clients, and senior business partners.
    • Possess a basic understanding of financial statements and be able to speak to them to Trustee or Board members.
    • Provide leadership for client management and support tasks, including meeting logistics, meeting minutes, and associated tasks.
    • Support and communicate needs of client auditors, working with Accounting and Finance.

    • Ensure Customer Success has proper documentation for clients, including enrollment, legal, tax, and banking documents.
